Start with the proceeding requirements
Confirm platform access, time zones, participant contact information, and a backup communication method.
Coordinate the supporting services
Test microphones, cameras, internet connections, and exhibit-sharing procedures before the deposition.
Give scheduling complete information
Schedule the reporter, videographer, interpreter, and technical support as one coordinated workflow.
Confirm the platform and access plan
A remote deposition preparation checklist should begin with the connection method. Confirm the platform, meeting link, passwords, host permissions and time zone. Send access information early enough that counsel, the witness, reporter, videographer and interpreter can verify how they will join.
Test audio before video quality
Clear testimony depends first on usable audio. Ask participants to use a stable internet connection, a quiet location and a microphone that does not create echo. Headphones can help when speakers are in shared spaces. Video framing matters, but intelligible audio is more important to the record.
Define the exhibit workflow
Decide who will introduce, mark and distribute exhibits. If documents are confidential or voluminous, discuss the process before the deposition rather than improvising while testimony is underway. The reporter should understand the planned exhibit workflow.
Plan for interruptions and backups
Keep participant telephone numbers or another backup communication method available. If a connection fails, the legal team should know who will pause the proceeding and how the witness will reconnect. A brief contingency plan can prevent a technical interruption from becoming a scheduling problem.
Coordinate optional services as part of preparation
If the remote proceeding also requires realtime, legal video, interpretation or an expedited transcript, include those services in the original request. This guide is focused on preparation; the Remote Depositions service page explains the commercial support CourtReporting.com can coordinate.
